If you’re moving to RoostPay partway through the calendar year, use Switching payroll providers to bring over your employee’s year-to-date (YTD) payroll amounts and leave balances. This lets RoostPay calculate the rest of the year’s taxes correctly, instead of starting from zero.
1. Open the mid-year switch screen
You can reach this screen two ways:
- During onboarding, if you indicated you’re switching from another payroll provider.
- From an existing employee’s record: open Household management, select the employee, and tap Import mid-year YTD openings.
2. Enter transition timing
- Under Transition timing, enter the Previous payroll period end date — the last day covered by your old provider (format
YYYY/MM/DD). - Optionally enter the First RoostPay pay period start date.
3. Enter your CRA remittance frequency
Under CRA remittance, choose your Remittance frequency: Monthly, Quarterly, Annually, or Accelerated. This is required before you can continue.
4. Enter year-to-date amounts
Under Year-to-date amounts, use figures from your last pay stub or year-end summary with your previous provider (same calendar year):
- YTD gross pay (required)
- YTD income tax (required)
- YTD CPP (employee) (required)
- YTD EI (employee) (required)
- YTD CPP (employer)
- YTD EI (employer)
- YTD net pay (optional)
5. Enter leave balances
Under Leave balances, enter what your employee has remaining with the previous provider:
- Sick days remaining
- Vacation weeks remaining
- Vacation dollars accrued
6. Save or skip
- Tap Continue to save the openings. If you’re mid-onboarding (no employee added yet), this is stored as a draft and applied automatically once you add your caregiver. If you’re on an existing employee’s record, it’s saved immediately.
- Tap Skip for now (I’ll have RoostPay enter this later) if you don’t have the figures yet.
- Tap Contact RoostPay for Assistance to open RoostPay’s contact page if you need help gathering or entering these amounts.
Edge cases
- Enter a valid date as YYYY/MM/DD: shown if a date field can’t be parsed — re-enter using slashes between year, month, and day.
- Enter a valid dollar amount: shown if a money field contains something other than numbers (commas and a decimal point are fine).
- Required: shown if you try to continue without a remittance frequency, or leave a required YTD field blank.
- Could not save payroll openings: if saving fails on an existing employee’s record, your entries stay on the screen so you can try again.
- Skipping: choosing Skip for now does not erase anything you already typed if you return to this screen later during onboarding — RoostPay support can enter the figures for you afterward.
