Hours Averaging

Hours averaging lets you and your caregiver agree, in writing, to average overtime over more than one week. Statutory overtime rates still apply. RoostPay documents the arrangement and calculates pay from it. This is not legal advice.

Written hours averaging in a RoostPay contract is available in British Columbia, Ontario, Prince Edward Island, and Manitoba. In other provinces and territories, RoostPay keeps the statutory overtime rules and does not add an averaging clause.

Note: RoostPay helps you document a standard averaging arrangement. Employment rules differ by province and by live-in vs live-out roles. Ask an employment lawyer before you rely on averaging. Saskatchewan requires a filing with the Director of Employment Standards that signing this contract does not replace. The Northwest Territories, Nunavut, and Yukon require a Director permit RoostPay cannot create. Quebec is not offered hours averaging.

1. Add it in the contract wizard

On the Overtime step (stage Pay and leave), turn on Hours averaging when your province allows it.

  1. Choose the Averaging period. British Columbia can use 1 to 4 weeks. Ontario and Prince Edward Island use 2, 3, or 4 weeks. Manitoba uses 2 or 4 weeks.
  2. Set the Averaging start date. Ontario, Prince Edward Island, and British Columbia also require an Averaging expiry date. Manitoba shows an expiry date as recommended.
  3. In British Columbia, enter Repetitions (BC) — how many averaging periods the agreement covers.
  4. Under Weekly schedule pattern, enter scheduled Hours for each weekday. That pattern repeats for every week in the period.
  5. Confirm I acknowledge this is not legal advice.
  6. In Ontario, also confirm that the employee will acknowledge the Ontario Ministry hours and overtime information sheet.

Overtime still applies if hours go over the agreed schedule or the period average.

2. Add it to a contract you upload

On I already have a contract, the overtime step includes the same Hours averaging section when the tax province is British Columbia, Ontario, Prince Edward Island, or Manitoba. You and your caregiver still both sign the averaging schedule RoostPay generates.

3. Add it after the contract is signed

  1. Go to Household management and open the caregiver’s record.
  2. Under Pay & schedule, tap Add hours averaging. This appears only when the contract is signed, the province allows a written agreement, and averaging is not already on.
  3. The Hours averaging addendum sheet opens. You sign first, then your caregiver. Averaging changes how overtime is calculated from the effective date after both sign.
  4. Tap Continue to sign.

Until your caregiver signs, payroll keeps the current overtime rules. After both sign, you’re notified that averaging is ready for payroll.

4. How it shows up on payroll

While an averaging window is still open, those hours stay in regular hours. When the window closes, RoostPay settles the overtime on the pay run. Hours already paid as regular in that window are trued up as an overtime premium, and the same hours are not paid twice.

Prince Edward Island caregivers are overtime-eligible after 44 hours in a week, including when you are not using hours averaging.
